Special Terms and Conditions for Events
1. SCOPE
HospitalityInside GmbH - hereinafter referred to as "HospitalityInside" - is an information provider focused on the hotel industry. Besides publications, HospitalityInside hosts or organises e.g. seminars, workshops, conferences and networking events. If an event is aimed at a specific target group or if special prior knowledge is required for participation, we will make this clear in the corresponding announcement.
2. CONTRACT PARTNER
The contractual partner is HospitalityInside GmbH. The offers are not directed at consumers.
3. REGISTRATIONS
Written registration is required to attend HospitalityInside events. These can be sent to us by email (mail to link at office@hospitalityInside.com) or by fax. Each registration must be confirmed by HospitalityInside.
4. PARTICIPANT FEES
With the booking confirmation you will receive an invoice for the participation fee. The invoice amount is due at least eight weeks before the start of the event. For registrations made at short notice, less than eight weeks before the start of the event, the fee is due in full immediately after invoicing. The event fee can be paid as follows:

Participants from outside the Single Euro Payments Area (SEPA) must ensure that their payment is free of charge to HospitalityInside. Please include the customer and invoice number with each payment.
5. DISCOUNTS
Subscribers to the online magazine hospitalityInside.com can benefit from a reduced fee for HospitalityInside events. The amount, procedure and availability of such discounts are described in the relevant event conditions.
6. SERVICE
The included services are listed in the event conditions.
7. NON-PARTICIPATION/CANCELLATION
If participation is not possible despite binding registration, HospitalityInside must be informed immediately in writing.
7.1. As an alternative to complete cancellation of event participation, HospitalityInside offers the applicant the following options as a special service:
Transfer of the booking to another event to be held within 13 months of the original event. Payments already received will be credited to the participation fee of the later event.
Nomination of a substitute participant to take the place of the original applicant at the event with all the rights and obligations associated with it.
7.2. If a cancellation of an event booking is unavoidable, only a processing fee of €70 will be due up to six weeks before the start of the event. In case of later cancellation the following costs will be charged..
Cancellation up to four weeks before expiration: 25% of the event fee;
Cancellation up to two weeks before the start of the event: 50% of the event fee;
Cancellation up to one week before start of the event: 75% of the event fee;
Cancellation within one week / no-show: 100% of the event fee.
8. NON-UTILISATION OF SERVICES
If an event participant does not make use of certain event services as a result of early departure, illness or other causes that are not the responsibility of HospitalityInside, the participant is not entitled to a refund of any kind.
9. EVENT CANCELLATION
HospitalityInside reserves the right to cancel an event if there are reasons that prevent proper execution. In this case, event fees already paid will be refunded in full. All further damage claims shall be excluded.
10. EVENT ORGANISATION
HospitalityInside strives to optimise the content published in the respective event programme and uses suitable speakers and hosts. Should a speaker or presenter drop out, HospitalityInside will ensure adequate delivery. The replacement of a particular speaker is not grounds for cancellation.
11. LIABILITY
11.1 HospitalityInside shall be liable without limitation for deliberate acts and gross negligence. HospitalityInside is liable for simple negligence only and limited to the contract-typical foreseeable damage, provided that an obligation is violated which is of particular importance for the achievement of the purpose of the contract.
11.2 The above limitations of liability shall not apply to claims under the German Product Liability Act and to damages resulting from injury to life, body or health.
12. DATA STORAGE
HospitalityInside collects, processes and uses the participant's data in accordance with the provisions of data protection law, which are necessary for the fulfilment of the contractual obligations. In this context, HospitalityInside is entitled to contact the participant in writing or by telephone until further notice. In order to conduct an event, HospitalityInside may provide personal data in the form of a list of attendees to presenters, speakers and, if applicable, event participants. Participants may revoke their consent to this transfer at any time. For more information on data protection, please see our Data Protection Policy.
13. PHOTO - FILM AND AUDIO RECORDING /IMAGE RIGHTS
The event participant agrees that photos taken at our events may be used for HospitalityInside's public relations purposes. By participating in an event, participants give their express consent to the publication of photographs, film recordings and video streams of themselves taken during the event. This consent also applies to print and social media, videos or DVDs, and the Internet. The photographer/videographer and/or the persons appearing in the material are not entitled to demand a fee; nor can they demand to be named if the material is published. If the participant no longer agrees to publication at future events, he/she can revoke the consent at HospitalityInside in writing at any time.
14. DOCUMENTATION
The event participant agrees to the use of audio recordings of events such as panels, discussions or lectures. The audio material is used by HospitalityInside to ensure proper documentation and follow-up of an event.
15. PROHIBITION OF ASSIGMENT AND SET-OFF
The user may not assign claims against HospitalityInside without HospitalityInside's prior written consent and may only offset such claims if they have been acknowledged in writing or confirmed by a court of law.
16. PLACE OF JURISDICTION AND APPLICABLE LAW
The place of jurisdiction and performance for all legal disputes is Augsburg. All legal relationships between the user and HospitalityInside shall be governed exclusively by the laws of the Federal Republic of Germany. HospitalityInside is optionally also entitled to bring an action before the court having jurisdiction over the user's place of business and residence.
17. SEVERABILITY CLAUSE
Should individual provisions of these GTCs be or become invalid, the remaining provisions shall remain valid. The invalid provision shall then be replaced by a valid provision that comes as close as possible to the economic purpose of the invalid provision. This shall also apply if these GTCs should prove to be incomplete or unenforceable.
